# Set up Expense
Setting up Expense for your organisation requires the following steps:
- Tax Configurations - This defines tax groups and percentages to be used by Expense Types
- Expense Groups - These are comprised of Expense Types which contain information used for categorizing expense
- Corporate Cards - This is for linking cards to individual users, allowing the cards to be used for their expense
- User-Worker Links - This is for linking workers to individual users, so financial dimensions associated with a user can be loaded.
To set up Expense, you must be an Administrator in DX2.
# Set up Tax Configurations
To add tax configurations, go to Administration, then go to the Tax Configurations tab.
A tax configuration (also known as a tax table) contains the following information:
- Company Code
- Tax Code
- Tax Group
- Tax Item Group
- Tax Percentage
To create one, click the Add Tax Table button at the top of the page.
In the tax configurations list, clicking on the three vertical dots at the right end of a tax table item will open an action menu where you can do the following things:
- Enable/Disable for Expense Claims
- Edit
- Delete
TIP
Tax tables can also be automatically synced from external sources such as Microsoft Finance and Operations. If this is the case, the tax table will be marked as (External Source) and you will not be able to edit or delete it from DX2.
# Set up Expense Groups
To add expense groups, go to Administration, then go to the Expense Groups tab.
Expense groups are containers for expense types. An expense group has the following information:
- Name
- Default Account Code
- Description
- Active (yes/no)
WARNING
To create an expense group, you must have an account code set up. For information on how to do this, see here.
To create one, click the Create button at the top of the page.
You can edit an expense group by clicking on it in the expense groups list. You can also click the three vertical dots at the right end of an expense group item to open an action menu with the following options:
- Disable/Enable
- Delete
You can manage expense types in the same manner on the expense group edit page. An expense type has the following information:
- Name
- Override Account Code
- Default Sales Tax Group
- Charge Type
- Tax Rate (automatically populated by tax group selection)
- Attachments Required
- Fringe Benefit Tax Applies
- Actual Value Method
WARNING
Fringe Benefit Tax configuration cannot be changed when expense claim lines are currently using the expense type.
# Set up Corporate Cards
To manage corporate cards, go to Administration, then go to the Corporate Cards tab.
This is where you provide users access to corporate cards by linking them to the card identifier. You can delete existing links or add new ones.
TIP
No changes, including deletions, are committed until you click the Save button.
TIP
Card identifiers have a maximum length of 10 characters.
You can download the list of corporate card links as a .csv file by clicking the Download File icon button at the top of the page.
You can also bulk-import corporate card links by clicking the Upload File icon button. You will be presented with a modal asking you to upload a .csv file in the prescribed format.
TIP
Corporate card imports will never overwrite or delete existing data. Any records in an uploaded file that match an existing corporate card link will be ignored.
If there is an issue with the uploaded data, no action will be taken and you will be shown a modal with error details. The following errors are possible:
- The file is not in the correct format.
- The file contains no records.
- A provided card identifier is invalid because it is more than 10 characters long.
- A provided user email is invalid because it does not match any user linked to the current trading partner.
# Set up Worker Links
To manage user-worker links, go to Administration, then go to the User-Worker Links tab.
This is where you can link users to workers. You can delete existing links or add new ones.
TIP
No changes, including deletions, are committed until you click the Save button.
WARNING
You will be prevented from saving your changes if any new links contain workers or users that are already involved in an existing user-worker link. If you want to reassign a worker or user, delete their links first.
